Care Plan Terms

Service

  • Office hours are 9am – 5:30pm, Monday – Friday.
  • Emergent issues with your website can be notified via email: claire@wayholmeweb.co.uk which is monitored between 8am and 10pm, Monday – Sunday.
  • Issues involving critical security breaches, hacks, major functions not working or your website going offline will be dealt with as soon as possible.
  • Issues involving appearance, that don’t effect function, will be dealt with during office hours.
  • Plugins will be updated regularly every Monday and again mid-week should the need arise.
  • Plugins with known conflict issues may be updated only after a fix has been issued by the plugin developer – this will be monitored closely.
  • Termination of Service (from either Way Holme Web or you the client) requires 30 days notice.
  • In the event of migrating your website to another vendor, you will become responsible for updating plugins, security monitoring, back ups and any annual fees for licensed plugins previously covered by your Care Plan.

Care Plan Payments

  • Care Plans must be paid monthly for a minimum of 12 months. After that we require 30 days notice from you to terminate service.
  • Care Plans will be paid monthly via Stripe (debit or credit card) or Direct Debit (bank account).
  • Plugins specific to your website, and not included in your Care Plan, will be invoiced yearly.
  • In the event of payment method failure, you will be notified and will have 30 days to resolve payment issues. If not resolved, your website will be placed into maintenance mode until missed payments have been received and payment method updated.
  • In the event of payment method cancellation without notice your website will be placed into maintenance mode until issue is resolved.
  • In the event of no payment for three months, your website will be taken offline and removed from our hosting.

Grandfathered Care Plans

Pre May 2024

  • Late payment fees of 8% will be applied 30 days after issue date and the invoice re-issued.
  • Payment not received within 30 days for Care Plan invoices will result in your website being placed into maintenance mode until issue is resolved.
  • In the event of no payment for three months, your website will be taken offline and removed from our hosting.

Hosting FAQs

Your website will be hosted on our fully managed UK Based Servers. As part of our Hosting & Maintenance Care Plans, we aim to keep your website secure with all plugins, themes, and PHP versions regularly updated and daily server backups taken.

Our website package prices are based upon signing up for our Hosting & Maintenance for a minimum of 12 months.

If after 12 months you wish to move hosting, you can either use our migration service or we will send you the files for you to organise the migration.

If there are paid licences associated with your website install, you will be responsible for them once the website has been transferred. This will be detailed in your Client Portal.

Updates, Security Monitoring and Backups

We monitor your website and WordPress news feeds for any security issues with plugins. As a rule we update once a week, unless there are specific security alerts for a plugin or Theme, then we update as soon as possible.

If we are aware of known conflicts between plugins, we will wait until a safe patch has been released before we update.

 
WordPress Builders

We build our websites in WordPress with either Elementor Pro, Bricks or WordPress native themes. We have developer licences for Elementor Pro and Bricks. When you are on our maintenance plan, these licences will be included.

If you transfer away from our hosting and maintenance plan, then you will be responsible for acquiring and renewing your own licences.

 
Plugins

We often use plugins that offer increased functions for your website. Some of these plugins that we have a developer licence for will be included.

If your website requires a licensed plugin (that we don’t have a licence for) you will need to purchase and renew the licence.

If you transfer away from our hosting and maintenance plan, then you will be responsible for acquiring and renewing your own licences.

 
Support

Errors and problems related to functions, security, and updates are covered by your Hosting & Maintenance plan.

Support for:

  • Problems caused by client error
  • Poor quality images
  • Content mismanagement: accidental deletion of content/images
  • Administration of users (unless security related)

 

 
Content Management

This depends on your build type and Hosting & Maintenance plan. If you have a static website, we can make minor content adjustments or if we have built you a dynamic CMS  (content management system) you will be responsible for adding and managing content.

We also offer content management packages if you require ongoing support with adding/uploading content, and administering your website and users.

Pop-ups

A popup is a small window or message box that appears over a website’s main content. It typically dims or covers part of the page to draw your attention.

Common purposes include:

  • Newsletter sign-ups: Inviting you to subscribe with your email.

  • Promotions & discounts: Highlighting special offers or coupon codes.

  • Important alerts: Showing urgent notices (e.g., cookie policies, system downtime).

  • Exit intent: Appearing when you’re about to leave, to try to keep you engaged.

Blog

Blogs are typically organized by topics or categories, making it easy for visitors to browse content and engage with the website.

A blog post is an article or entry on a blog. It usually has text (and often pictures or videos). Blogs can be used for personal storytelling, industry insights, or company news.

Newsletter Integration

This is a form on your website that enables visitors to sign up to a list within your email marketing application.

Examples:

  • Mailchimp

  • Brevo

  • Mailerlite
  • Campaign Monitor

Content Sections

This refers to sections on a page, not actual pages.

For example:

  • Hero section
  • CTA (Call to Action) section
  • Form section
  • Testimonial section etc…

The included page count is listed in the Tier Section of this page.

Meetings

We recognize that everyone’s schedule is unique, so we offer flexible options for our discovery meetings. You can choose between a Zoom video chat or a visit to your workplace, whichever is most convenient for you.

Additional Function

For this function, we may need to add a paid plugin or integrate an external service.

Landing Pages

Landing pages are focused on a single call to action (CTA) and are designed to convert visitors into leads or customers.

Sections

This includes a ‘Section‘ home page listing all the items, which then link to individual item landing pages. Similar to how a blog works.
