You could be missing out on time-sensitive leads, client enquiries, or important correspondence, all because an email landed in your spam folder. As a busy business owner, when was the last time you checked yours?
Why It Matters
Your email inbox is one of your most powerful business tools. Whether it’s a customer reaching out for a quote, a supplier confirming an order, or a potential client getting in touch after viewing your website, you need to know that messages are being delivered… and seen.
But here’s the problem: email filters aren’t perfect.
Even when everything seems to be set up correctly, email providers like Outlook and Hotmail are notorious for flagging legitimate emails as spam, sometimes even after you’ve marked them as safe. That means you could be missing out on opportunities simply because your inbox didn’t recognise an important message.
What You Can Do
Here are a few things you can do to reduce the chances of missing important emails:
📩 Check Your Spam Folder Daily
Make it a quick part of your routine, just like checking your voicemail. A 10-second glance can save you a lost client or a missed opportunity.
👍 Mark Emails as ‘Safe’
If you find a legitimate email in your spam folder, mark it as “Not Junk” or “Move to Inbox.” This helps train your email provider’s filter over time.
📗 Add Contacts to Your Address Book
If you want to be sure you never miss a message from someone, add their email address to your contacts. Most spam filters give priority to known senders.
🔗 Avoid Spam Triggers in Your Own Emails
If you’re sending emails to customers, make sure your content doesn’t include spammy phrases, too many links, or large attachments. Even the layout or tone of an email can affect deliverability.
What We Do to Help
When we set up your website, we include all the necessary DNS records (like SPF, DKIM, and DMARC) to help ensure your email works smoothly and doesn’t get flagged as spam. These records are a kind of “digital signature” that tells email providers your messages are trustworthy.
However, no system is foolproof. Some email providers, especially free ones like Outlook or Hotmail, have stricter filters or quirks that occasionally override even the best configurations.
Inboxes aren’t perfect, but with a little vigilance, you can make sure you’re not losing valuable connections to a junk folder. And if you’re unsure whether your email setup is working as it should, just ask, we’re here to help.
